QR Code

The QR Code add-on is a built-in QR code generator. You create, save and download QR codes for things like a website link, a WiFi network, contact/phone details, a calendar event or a payment link. The codes are standard QR codes that any phone camera can scan.

Where to find itQR Code

Before you start: The QR Code module must be enabled and your role needs at least View QrCode permission. Contacts (portal users) do not see this menu.

Important: This page is a general QR generator — it does not create attendance check-in codes. The QR code employees scan to clock in is configured separately under Settings → Attendance Settings → QR Code. See the bottom of this article.

What you can generate

Each QR code has a Type that decides what it encodes:

Type Encodes / does when scanned
Text Plain text.
Email Opens a new email (with optional subject and body).
URL Opens a web link.
Phone Starts a phone call.
SMS Starts a text message.
WhatsApp Opens a WhatsApp chat.
Skype Starts a Skype call or chat.
Zoom Opens a Zoom meeting link.
WiFi Joins a WiFi network.
Location Opens map coordinates.
PayPal Opens a PayPal payment/donate link.
Event Adds a calendar event.
UPI Opens a UPI payment (India).

The QR Code list

Open QR Code to see your saved codes — each shows a thumbnail, its QR Title, Type and Created At. Filter by Type or use the search box, and use Clear Filters to reset.

Each row's action menu offers:

  • View — preview the code.
  • Edit — change it.
  • Download — save the image as SVG, PNG, GIF, WEBP, PDF or EPS.
  • Delete — remove it.

Creating a QR code

  1. Click Create QR Code.
  2. Enter a QR Title (required).
  3. Choose a Type. The form then shows the fields for that type (for example a network name and password for WiFi, or the event details for Event).
  4. Fill in the type-specific fields.
  5. (Optional) Open the Logo section to upload a centre logo and set its Logo Size.
  6. (Optional) Open the Design section to set Size, Margin, Background Color and Foreground Color.
  7. Click Generate QR Preview to check it, then Save.

Tip: Keep a strong contrast between the background and foreground colours — low contrast can make a code hard to scan. The form shows a warning reminding you of this.

Note: There is no "regenerate" button and no expiry. To change a code, Edit it and save; to get an image file, use Download in the format you need.

How the codes are used

These are content QR codes — there is nothing to scan inside BusinessHRM. When someone scans the code with a normal phone camera, the encoded action happens directly: a WiFi code joins the network, a URL code opens the link, an Event code adds a calendar entry, a payment code opens the payment, and so on. Download or print the image and place it wherever you need it.

Permissions

The QR Code permissions are all-or-nothing:

  • View QrCode — see the list, preview and download.
  • Add QrCode — create and edit codes.
  • Edit QrCode — edit codes.
  • Delete QrCode — delete codes.

Looking for the attendance QR code?

The QR code that employees scan to clock in and out is a different feature, set up by an admin under Settings → Attendance Settings → QR Code:

  1. Turn on the QR Code toggle. (It cannot be used together with automatic / first-sign clock-in.)
  2. Download or Print the generated QR code and post it at the workplace.
  3. A logged-in employee scans it to clock in; scanning again clocks them out. The check-in respects your shift, location, leave and holiday rules.
