Project Notes

Project notes are a place to record information about a project — decisions, references, credentials, or anything the team should keep. Notes can be public to the project team or private to specific people, and can even be password-protected.

Where to find itOpen a project from WorkProjects and click the Notes tab.

How to add a note

  1. Open the project and go to the Notes tab.
  2. Click Add Note.
  3. Enter a Note Title.
  4. Choose the Note TypePublic or Private.
  5. If Private, choose who can see it and set any extra options (see below).
  6. Write the note in the Note Detail editor.
  7. Click Save.

Fields

Field What it does Required
Note Title The name of the note. Yes
Note Type Public (visible to the project team) or Private (visible only to chosen people). Default: Public. No
Employee When Private, the people who can see the note. Yes (when Private)
Visible to Client When Private, lets the assigned contact see the note too. No
Ask to Re-enter Password When Private, requires the viewer to confirm their password before opening the note. No
Note Detail The body of the note. Supports rich text and @mentions. No

Public vs private notes

  • Public notes are visible to everyone on the project (subject to view permissions).
  • Private notes are visible only to the employees you select, plus the contact if you enable Visible to Client.
  • Turning on Ask to Re-enter Password adds an extra confirmation step before the note opens — useful for sensitive content.

Permissions

  • View project note — to see the Notes tab.
  • Add project note — to create notes.

Tips

  • Use a Private note with Ask to Re-enter Password for sensitive information you want extra protection on.
  • @mention teammates in the note detail to draw their attention to it.
  • The Note field on the new-project form creates a first note for the project automatically.
