Profile Settings
Profile Settings is your personal account page in BusinessHRM. It is where you update your own name, photo, email, password, contact details, language, and personal information, manage your emergency contacts, and view your documents. Every logged-in user has access to their own Profile Settings, and you can only edit your own profile.
The page has a tab bar at the top. Depending on your role and permissions, you may see up to three tabs: Profile, Emergency Contacts, and Documents.
Profile tab
This is the main tab and is always available. It holds your personal account details.
- Open Settings and click Profile Settings in the sidebar.
- Update any of the fields below.
- Click Save.

| Profile Picture | Your photo or avatar. Upload a PNG, JPG, JPEG, SVG, or BMP image; a cropping window opens after you choose a file. Recommended size is 250 x 250 pixels. You can also remove an existing picture. |
| Your Name (Salutation) | A title shown before your name. Options are blank, Mr, Mrs, Miss, Dr., Sir, and Madam. |
| Your Name (Name) | Your display name. |
| Your Email | The email address for your account. Required. Note: if you change it to an email that already belongs to another account, you may be signed out. |
| Your Password | Set a new password. Leave it blank to keep your current password. You can show or hide what you type, and use the Generate Random Password button to create a strong password automatically. |
| Receive email notifications? | Turns email notifications on or off for your account. Options are Enable and Disable. |
| Enable Google Calendar | Turns the Google Calendar connection on or off for your account. Options are Yes and No. |
| Country | Your country. Choosing it automatically updates the phone dialling code below. |
| Mobile (Code) | Your phone dialling code, shown next to the mobile number. Set automatically from your country but can be changed. |
| Mobile (Number) | Your mobile phone number. |
| Change Language | The interface language for your account. Choose from the active languages; right-to-left languages are marked. Changing this reloads the page. |
| Gender | Your gender. Options are Male, Female, and Others. |
| Date of Birth | Your date of birth. Cannot be set to a future date. Shown for employees (not for Contacts). |
| Slack Member ID | Your Slack member ID, entered after the @ symbol. Shown for employees (not for Contacts). |
| X (Twitter) ID | Your X (Twitter) handle. Shown only if the X (Twitter) sign-in option is enabled for your company. |
| Marital Status | Your marital status. Shown only for employees. Options are Single, Married, Widower, Widow, Separate, Divorced, and Engaged. |
| Marriage Anniversary Date | Your anniversary date. Appears only after you choose Married as your marital status. Employees only. |
| Your Address | Your home address. |
| About | A short description about yourself. Shown for employees (not for Contacts). |
| Telegram User ID | Your Telegram user ID, with links to open the Telegram bot. Shown only if Telegram messaging is enabled for your company. |
After you click Save, your changes take effect. If you changed your language or your email, the page may reload or sign you out as described above.
Emergency Contacts tab
This tab lets you record people who should be contacted in an emergency. You see only your own emergency contacts. The tab is not shown to Contact-type users.
The list shows each contact's Name, Email, Mobile, and Relationship, with View, Edit, and Delete actions per row.
Add an emergency contact
- Open the Emergency Contacts tab.
- Click Create New. A window opens with the contact form.
- Fill in the fields below.
- Click Save.

| Relationship | Required. How this person is related to you (for example, Spouse, Parent). |

View, edit, or delete an emergency contact
- In the list, use the row actions.
- View opens a read-only window showing Name, Email, Mobile, Relationship, and Address.
- Edit opens the form pre-filled so you can change any field, then Save.
- Delete removes the contact after you confirm.
Documents tab
This tab shows the files attached to your account. It appears only if you have permission to view your documents. Each file is shown as a card.
Depending on your permissions, you can:
- View a file (opens the file).
- Download a file.
- Edit a file's details.
- Delete a file (after confirming).
- Add a file using the Add File link, if you have permission to add documents.
Add a document
- Open the Documents tab and click Add File.
- Fill in the fields below.
- Click Submit.

Permission
The Profile tab is available to every logged-in user with no special permission; you can only edit your own profile. The Emergency Contacts tab is available to all users except Contact-type users. The Documents tab requires permission to view documents (the view_documents permission for employees or view_contact_document for Contacts); the Add, Edit, and Delete actions on documents are each controlled by their own permissions.
Tips
- Leave the password field blank unless you actually want to change your password.
- Use the Generate Random Password button for a strong password, then store it somewhere safe before saving.
- The cropping window after uploading a photo lets you frame your picture; aim for a square image close to 250 x 250 pixels.
- Some fields appear only in certain situations: Date of Birth, Slack Member ID, About, and Marital Status are for employees; Marriage Anniversary Date appears only after you select Married; and the X (Twitter) and Telegram fields appear only when those integrations are enabled by an admin.
- Changing your interface language reloads the page, so save other changes first.
- Keep at least one up-to-date emergency contact on file.
