Project Members and the Project Admin

Project members are the people who can work on a project. One member can also be made the Project Admin, giving them control over that project without needing full system permissions.

Where to find itOpen a project from WorkProjects, then click the Members tab.

The Members tab is hidden on public projects and for contact users.

How to add members

  1. Open the project and go to the Members tab.
  2. Click Add Project Member.
  3. Under Choose Type, pick how you want to add people:
    • Choose Members — select one or more employees directly.
    • Choose Department — select a team/department to add all of its members at once.
  4. Click Save.

You can add members if you have the add-project-members permission, or if you are the project admin.

The members table

The Members tab lists everyone on the project with these columns:

Column What it does
Name The member's name and avatar.
Hourly Rate The member's hourly rate on this project. Editable inline if you have edit-members and view-hourly-rates permission. Used to calculate time-log earnings.
Role Shows whether the member is the Project Admin, with controls to assign or remove that role.
Action Remove the member from the project.

The Project Admin role

Each project can have one Project Admin. The project admin gets elevated, full access to that project's tasks, milestones, Gantt chart, and burndown chart, and can edit the project and add members — even if their normal role does not grant those permissions.

How to assign a project admin

  1. Go to the Members tab.
  2. In the Role column for the member you want, select the project-admin option.

How to remove the project admin

  1. Go to the Members tab.
  2. Choose Remove Project Admin.

If you remove a member who is the project admin, the project-admin role is cleared automatically.

Permissions

  • View project members — to see the Members tab.
  • Add project members — to add people (project admins can add regardless).
  • Edit project members + view project hourly rates — to edit hourly rates inline.
  • Delete project members — to remove people.

Tips

  • Adding by Department is the quickest way to put a whole team on a project.
  • Set each member's Hourly Rate if you bill time — earnings on time logs use this rate (falling back to the employee's default rate).
  • Use the Project Admin role to delegate day-to-day project management to a lead without giving them company-wide permissions.
