Job Applications

Job Applications is where you track every applicant through your hiring pipeline. Each applicant is a card that moves from stage to stage — from Applied all the way to Hired or Rejected. This article covers the Board (Kanban) and Table views, how candidates move between stages, the actions you can take on each applicant, and how to manage your pipeline columns and application sources.

Permission: You need View Job Application to open the page, Add Job Application to add applicants, Change Application Status to move cards between stages, and Edit / Delete Job Application to change or remove them.

Two views: Board and Table

There are two ways to see your applicants, toggled by the buttons at the top right:

  • Board View — a Kanban board where each column is a pipeline status. This is the main working view.
  • Table View — a sortable, filterable list of all applications.

The pipeline (your status columns)

On the Board, each column is a Job Application Status. BusinessHRM ships with five default columns:

Column Category Purpose
Applied applied New applicants land here.
Phone Screen shortlist Shortlisted for an initial screen.
Interview interview In the interview stage.
Hired hired Offer accepted / hired.
Rejected rejected Not moving forward.

Each column header shows a coloured dot, the status name and a count of applicants in it. You can collapse a column to save space and expand it again. Long columns load more cards with Load More.

Moving candidates between stages

Drag a card from one column to another to change that applicant's status. Depending on the category of the column you drop into, a follow-up window opens automatically (when the column's "Action" option is on):

Note: Moving a card to a status that has candidate email switched on (configured per status) automatically emails the candidate about the change. You control which statuses send emails when you set up the column.

Permission: Drag-and-drop is only available when your Change Application Status permission is set to All.

Applicant cards

Each card shows the candidate's avatar, full name (click it to open the full applicant profile in a side panel), email, phone, the job title they applied for and the applied date (highlighted red if overdue, or "Today" if today). For shortlist columns the card also shows the remark; for rejected columns it shows the rejection remark. A small × on a card is a quick Reject Application action.

Per-card actions

From the board you can:

  • Add Remark — record a note when shortlisting.
  • Schedule Interview — set up an interview (stage, type, date/time, interviewers, reminders, notify candidate). See 05 - Interview Schedule.
  • Send Offer Letter — create and optionally send an offer (candidate, job, offer expiry, expected joining date, salary, signature). See 06 - Offer Letters.
  • Add Rejection Remark — record why an applicant was rejected.
  • Add Skills — tag the applicant with skills.

Adding an applicant manually

Click Add Job Application (from the board header or an empty column). The form captures the candidate's details — full name, email, phone, the job and location they're applying for, skills, source, experience, CTC, notice period, resume and any custom questions. New manual applicants can be placed straight into the column you started from.

Tip: You can also bulk-add applicants with Import Excel. Download the sample CSV first so your columns match.

The Table view

Table View lists every application in a grid you can sort and filter. Filters include a date range, Job, and a More Filters panel with Status, Location, Gender, Experience, Current Location, and Current / Expected CTC ranges. There's a search box and a Clear Filters reset. Use the row action menu to view, edit or delete an application, and the Select Action dropdown for bulk Change Status or Delete.

Managing your pipeline columns

You can rename, recolour, reorder and add columns. Open a column's menu on the board, or go to Settings → Recruit Settings → Job Application Status.

Adding a status (board column)

Click Add Status (or Add Board Column) and fill in:

Category Which of the fixed buckets the column belongs to: applied, shortlist, interview, hired, rejected, or others. The category drives the automatic action window on drop. Yes

Position Where to place the column in the pipeline ("Before" / "After" an existing column). No

Important: The five default statuses (Applied, Phone Screen, Interview, Hired, Rejected) cannot be deleted, but you can rename them, change their colours and reorder them. You can add as many extra columns as you need.

Application sources

Sources record where each applicant came from (LinkedIn, Facebook, Instagram, Twitter, Other are predefined). Manage them under Settings → Recruit Settings → Source. Add your own with Add Source (a single Source name field).

Note: Predefined sources cannot be deleted — only sources you add yourself can be edited or removed.
