Events & Calendar

Use Events to schedule meetings, appointments and activities, invite employees and contacts, and view everything on a shared calendar. Events can be one-off or recurring, and attendees receive invitations automatically.

Where to find it

  • Sidebar → Events

The Events module must be enabled and your role needs View Events permission.

The two views

Toggle in the top right of the page:

  • Calendar (default) — a full calendar with Month / Week / Day / List buttons and prev / next / today navigation. Events are colour-coded by their Label Color; click an event to open its details.
  • Table — a list view with a year filter and bulk quick-actions (delete, change status).

Filter bar: Employee, Client, Status (All / Pending / Completed / Cancelled) and a search box.

How to create an event

  1. Go to Events and click Add Event (visible if you have add permission).
  2. Complete the form.
  3. Save. Attendees receive an invitation notification, and any @-mentioned people are notified too.

For repeating events, use the separate Recurring Event button (requires Manage Recurring Event permission).

Event fields

Attendees

  • Add attendees through the Select Employee and Select Client lists.
  • Selecting a Department repopulates the employee list with that department's members; Select-All invites everyone in the list.
  • The Host is a single employee, separate from the attendee lists.
  • On save, attendees get an invitation, and people @-mentioned in the description get a mention notification.

Recurring events

Use the Recurring Event form to create repeating events:

  • Repeat Every — a number.
  • Repeat type — Day, Week, Month, "on the same weekday each month", or Year.
  • Cycles — how many occurrences to generate.

Each occurrence is created as a linked child of the original event.

Changing status

From the table or detail view you can change an event's status. Setting it to Cancelled notifies attendees, and Completed sends a completion notice. You can include a note with the status change.

Permission notes

Event permissions are scoped (All / Added / Owned / Both / None):

  • View Events — see the calendar.
  • Add Events — create events.
  • Edit Events / Delete Events — manage events you can access (bulk delete requires All).
  • Manage Recurring Event (All) — create recurring events.

Tips

  • Use distinct Label Colors per event type so the calendar is easy to scan.
  • Pick a Department first to quickly invite a whole team.
  • Add an Event Link for online meetings and turn on Send Reminder so attendees get notified in time.
