Candidate Database
The Candidate Database is your archive of past applicants. When you finish with an application but want to keep the candidate's details for the future, you archive it here. Later you can search the archive and pull a candidate back into your active pipeline. This article explains how candidates get into the database, what's stored, and how to retrieve them.
The page lives at /account/candidate-database.
Important: The Candidate Database holds archived job applications. The page even says "These are the archived job applications." You don't create candidates here directly — they arrive only when you archive an application.
How candidates get here
From the Job Applications board, archiving an applicant moves them into the Candidate Database. Archiving copies the applicant's name, the job they applied for, their location, the date they applied and their skills into the database, then removes the original application from your active board. You'll see "Archive successfully." when it's done.
What's stored
Each archived candidate keeps a full profile, including:
- Full name and job title applied for
- Email and phone
- Date of birth and gender
- Total experience and current location
- Current CTC and Expected CTC (with their rate)
- Notice period
- Application source and applied date
- Remark and (if applicable) rejection remark
- Cover letter
- Skills
- Resume / attached files (viewable and downloadable)
Finding a candidate
The list gives you several ways to narrow down the archive:
| Filter | What it does |
|---|---|
| Duration | Filter by the date the candidate originally applied. |
| Skills | Show only candidates who have a chosen skill. |
| Search | Search by candidate name. |
| Job (More Filters) | Filter by the job they applied to. |
| Location (More Filters) | Filter by location. |
There's a Clear Filters reset and an Export Excel button to download the list. Click a candidate's Name to open their full profile in a side panel.
Retrieving a candidate
Found someone worth a second look? Open their profile and click Retrieve. This restores the original job application back into your active pipeline and removes the candidate from the database. You'll see "Retrive successfully." (the app's spelling), and you'll be taken to the Job Applications list.
Tip: Archive applicants you've passed on but might want again (strong runners-up, for example). When a similar role opens later, filter the database by skill and retrieve the best fits instead of starting from scratch.
