Project Settings
Project Settings controls the deadline reminders sent for projects, the statuses a project can move through, and the categories you can group projects under. The page has three tabs: Send Reminder, Project Status Settings, and Project Category.
This tab only appears when the Projects module is enabled for your company and your role has the right permission. The page opens on the "Send Reminder" tab by default.
Send Reminder
This is the default tab. It controls whether a reminder is sent for project deadlines, who receives it, and how far in advance.
How to set it up:
- Open Settings sidebar > Project Settings.
- Turn on "Send reminder" to enable deadline reminders. This reveals the recipient and timing fields.
- Choose who the notification goes to.
- Set how far before the deadline to send it.
- Click Save.
| Field | What it does |
|---|---|
| Send reminder | Turns project deadline reminders on or off. When on, the recipient and timing fields appear. |
| Send notifications to | Who receives the reminder: Admins, Members, or All. |
| Remind Before | How far in advance the reminder is sent. Enter a number; the unit (for example days) is shown beside it. |
Project Status Settings
This tab lists the statuses a project can be set to, each with a colour and an active/inactive state, and shows which one is the default for new projects. Use "Add Status" (top right) to create one.
A built-in "finished" status is used to mark projects as complete. It cannot be deleted; you can only rename it (its display name is shown as an alias). The current default status also cannot be deleted.
How to add a status:
- Go to the Project Status Settings tab and click "Add Status".
- Enter a name.
- Pick a label colour.
- Choose Active or Inactive.
- Click Save.
To make a status the default for new projects, select the "Default" radio button on its row. To edit or delete a status, use the actions on its row (the default and the "finished" status cannot be deleted). When you delete a status, any projects using it are moved to the default status.
| Field | What it does |
|---|---|
| Name | The status name (for example In Progress, On Hold). For the built-in "finished" status this edits only the display name. |
| Label Color | The colour used to show this status. |
| Status | Whether the status is Active (selectable and can be set as default) or Inactive. |
| Default | Radio button on each active status row that marks it as the status applied to new projects. |
Project Category
This tab lists the categories you can assign projects to, for grouping and filtering. Use "Add Category" (top right) to create one. Each row has Edit and Delete actions.
How to add a category:
- Go to the Project Category tab and click "Add Category".
- Enter a category name.
- Click Save.
| Field | What it does |
|---|---|
| Category Name | The name of the project category (for example Internal, Client Work). |
Permission
Access to Project Settings is controlled by the manage_project_setting permission, which must be set to "all", and the Projects module must be enabled for your company. If either condition is not met, the page returns a 403 (access denied) or the tab does not appear. Adding or editing project categories additionally requires the manage_project_category permission ("all" or "added").
Tips
- Set a sensible default status so new projects start in the right place automatically.
- The "finished" status is special: you can rename it but never delete it, since it is what marks projects complete.
- Deleting a status does not lose those projects; they are reassigned to the current default status.
- Use clear, distinct label colours so statuses are easy to tell apart on project boards and lists.
- Categories are a lightweight way to group projects for reporting and filtering; keep the list short and meaningful.
- If you do not see this page, the Projects module or the required permission is missing.
