Interview Schedule
The Interview Schedule is where you set up interviews for your shortlisted candidates — in person, by video, or by phone. You choose the round, the interviewers, the date and time, and whether to notify the candidate. This article covers scheduling an interview, the calendar and table views, rescheduling, and how interviewers accept or decline.
The page lives at /account/interview-schedule.
Calendar and Table views
- The main page (
/account/interview-schedule) is a calendar showing upcoming interviews (those still pending). You can filter by interviewer and search by candidate name. - Table View (
/account/interview-schedule/table-view) lists every interview in a grid with filters for Status and Interviewer, plus a candidate-name search, Clear Filters, and bulk Quick Actions (Change Status, Delete).
Scheduling an interview
You can start a schedule from the Interview Schedule page, or directly from a candidate card on the Job Applications board (drag a card into an interview column).
- Open → Interview Schedule and click Add Interview Schedule (or use the Schedule Interview action on an applicant).
- Complete the Interview details form (fields below).
- Click Save, or Save & Add More to schedule another straight away.
Interview form fields

Note: When you save, the candidate's application status is automatically moved to the Interview stage, and the selected interviewers are emailed. If Notify Candidate is ticked and the candidate has an email, they're notified too.
Video interviews
If you choose Video and the Zoom integration is enabled, a Video Type choice appears:
- Zoom — BusinessHRM creates a live Zoom meeting for you. You also set an End On date, End Time, Meeting Name, Meeting Host, and the Host / Participant Video options. The join link and password are generated automatically and shared with attendees.
- Other — paste any external meeting link (Google Meet, Teams, etc.) into the Other Link field.
Important: The Zoom option only appears if your company has the Zoom integration set up. Without it, choose Other and paste your own meeting link.
Interview rounds
Because you pick a stage for each interview, you can schedule several rounds for the same candidate (for example an HR round followed by a Technical round). Each round is its own schedule, linked together so you can track the full sequence.
Interview statuses
An interview moves through these statuses:

| Completed | The interview has taken place. |
| Hired | The candidate was hired. |
| Canceled | The interview was called off. |
Change a status from the Table View — either per row, or in bulk via Quick Actions → Change Status.
Rescheduling an interview
If a time no longer works, use the Reschedule action.
- Open the interview's Reschedule window.
- Change the Start On date and Start Time (and End On / End Time for Zoom interviews).
- Optionally tick Notify Candidate and add a Comment for Candidate.
- Click Save.
The new time is saved, a Zoom meeting (if any) is updated, the change is logged, and the candidate and interviewers are notified.
Interviewer accept / decline
Each interviewer can confirm whether they'll attend. From the interview notification (or the calendar), an interviewer can Accept or Decline. Their response is recorded against the interview and the organiser is notified, so you always know who has confirmed.
