Finance / Invoice Settings

Finance Settings is the central place to control how your invoices, estimates, orders, proposals, credit notes, and related billing documents look and behave. From here you set the default invoice content and due dates, choose a template, define numbering prefixes for every document type, manage units of measure, record payment details to print on documents, and configure estimate behavior.

The page opens with a row of tabs across the top. Which tabs you see depends on which modules your company has enabled (Invoices, Estimates, Orders, Payments). The tabs are: Invoice Settings (general), Invoice Template, Prefix Settings, Units, QuickBooks Settings, Invoice Payment Details, and Estimate Settings.

Permission

Access to all Finance Settings tabs is controlled by the manage_finance_setting permission, which must be set to "all". In addition, at least one of the Invoices, Estimates, Orders, or Payments modules must be enabled for the page to be reachable. Without these, the page returns a 403 (access denied).

Invoice Settings (General tab)

This is the default tab. It controls the default content, due dates, reminders, logo, and which fields appear on the invoice.

How to use it:

  1. Set the logo, language, due date, reminder, display options, and terms.
  2. Click Save.
Field What it does
Logo The logo image printed on invoices. Allowed file types: png, jpg, jpeg, svg, bmp. Uploading a new file replaces the old one.
Authorised Signatory Signature A signature image to print on invoices. Allowed file types: png, jpg, jpeg, svg, bmp.
Language The language/locale used for the invoice document. Choose from the languages configured for your company.
Due After Required. Number of days after the invoice date when payment is due.
Send Reminder Before Number of days before the due date to send a payment reminder.
Reminder (Send Reminder After / Send Reminder Every) + days A dropdown plus a number. Choose whether reminders are sent once "After" a number of days or repeatedly "Every" number of days, and enter the number of days.
Show GST When ticked, GST information is shown on the invoice.
HSN/SAC Code Show When ticked, the HSN/SAC code column is shown on the invoice.
Show Tax Calculation Message When ticked, a tax calculation message is printed on the invoice.
Show Status When ticked, the invoice status (for example Paid, Unpaid) is shown on the document.
Show Authorised Signatory When ticked, the authorised signatory signature is shown on the invoice.

Show Fields In Invoice

These checkboxes control which contact and project details are printed on the invoice.

Field What it does
Contact Name When ticked, the contact's name is shown on the invoice.
Contact Email When ticked, the contact's email is shown on the invoice.
Contact Phone When ticked, the contact's phone is shown on the invoice.
Company Name When ticked, the contact's company name is shown on the invoice.
Contact Address When ticked, the contact's company address is shown on the invoice.
Show Project On Invoice When ticked, the related project is shown on the invoice.

Text fields

Field What it does
Invoice Terms Free text for the default terms and conditions printed on each invoice.
Other Info Free text for any additional information printed on the invoice.

Invoice Template tab

Choose the visual template (theme) used for invoices and related documents.

  1. Open the Invoice Template tab.
  2. Click the template image you want from the picker.
  3. Click Save.
Field What it does
Template The invoice layout/theme. Five designs are available: Template 1 through Template 5, each shown as a preview image.

Prefix Settings tab

Defines the prefix, separator, and digit count used to build the running numbers for each document type. As you type, a read-only "look like" field previews the resulting number (for example, INV#0001). Which sections appear depends on the modules enabled.

How to use it:

  1. Set the prefix, separator, and digit count for each document type you use.
  2. Watch the "look like" preview to confirm the format.
  3. Click Save.

Invoice and Credit Note (shown when the Invoices module is enabled)

Field What it does
Invoice Prefix Required. Text placed at the start of invoice numbers (for example, INV).
Invoice Number Separator The character between the prefix and the number (for example, # or -).
Invoice Digit How many digits the number is padded to (0 to 10). For example, 4 produces 0001.
Invoice Look Like Read-only preview of a sample invoice number.
Credit Note Prefix Required. Text at the start of credit note numbers.
Credit Note Number Separator The character between the credit note prefix and number.
Credit Note Digit Digit padding for credit note numbers (0 to 10).
Credit Note Look Like Read-only preview of a sample credit note number.

Estimate and Estimate Request (shown when the Estimates module is enabled)

Field What it does
Estimate Prefix Required. Text at the start of estimate numbers.
Estimate Number Separator The character between the estimate prefix and number.
Estimate Digit Digit padding for estimate numbers (0 to 10).
Estimate Look Like Read-only preview of a sample estimate number.
Estimate Request Prefix Required. Text at the start of estimate request numbers.
Estimate Request Number Separator The character between the estimate request prefix and number.
Estimate Request Digit Digit padding for estimate request numbers (0 to 10).
Estimate Request Look Like Read-only preview of a sample estimate request number.

Order (shown when the Orders module is enabled)

Field What it does
Order Prefix Required. Text at the start of order numbers.
Order Number Separator The character between the order prefix and number.
Order Digit Digit padding for order numbers (0 to 10).
Order Look Like Read-only preview of a sample order number.

Proposal (always shown)

Field What it does
Proposal Prefix Required. Text at the start of proposal numbers.
Proposal Number Separator The character between the proposal prefix and number.
Proposal Digit Digit padding for proposal numbers (0 to 10).
Proposal Look Like Read-only preview of a sample proposal number.

Units tab

Manage the units of measure (for example, pcs, hrs, kg) that can be selected on invoice and estimate line items.

How to use it:

  1. Click Add Unit to create a new unit. Enter the Unit name in the window and click Save.
  2. In the list, select a unit's "Default" radio button to make it the unit pre-selected on new line items.
  3. Click Edit to rename a unit, or Delete to remove it.
Field / Control What it does
Unit Type The name of the unit of measure.
Default Marks one unit as the default selection. The default unit cannot be deleted.
Add Unit button Opens the form to create a new unit.
Import button Lets you load multiple units from a file.

Invoice Payment Details tab

Records the bank or payment account details (and an optional QR code) that are printed on invoices so contacts know how to pay.

How to use it:

  1. Click Add Payment Details.
  2. Fill in the fields below.
  3. Click Save.
Field What it does
Title Required. A label for this payment method (for example, Bank Transfer).
Payment Details Free text for the account/bank details to print on the invoice.
QR Code An optional image (for example, a payment QR code). Allowed file types: png, jpg, jpeg, svg, bmp.

In the list each entry shows its QR code image, method title, and details, with Edit and Delete actions.

Estimate Settings tab

Available when the Estimates module is enabled. Controls estimate-specific behavior.

How to use it:

  1. Open the Estimate Settings tab.
  2. Tick or untick the option.
  3. Click Save.
Field What it does
Show Estimate Item Selection Column When ticked, an item selection column is shown on estimates, letting the contact choose which line items to accept.

QuickBooks Settings tab

Available when the Invoices or Payments module is enabled. Used to connect and sync billing data with QuickBooks. (Connection and sync controls live on this tab; an information note explains the sync behavior.)

Tips

  • Set the Due After value to match your standard payment terms so every new invoice gets the correct due date automatically.
  • Use the "look like" preview on the Prefix tab before saving to confirm the numbering reads the way you want.
  • Keep the Digit value high enough (for example, 4) to avoid short, ambiguous numbers as your volume grows.
  • Add your bank details under Invoice Payment Details so they appear on every invoice and contacts can pay without asking.
  • Set a default unit so staff do not have to pick one on every line item.
  • The contact display checkboxes under "Show Fields In Invoice" let you hide details (such as phone or address) you do not want printed.
  • Remember that the Estimate, Order, and QuickBooks tabs only appear when the matching module is enabled for your company.
