Inventory

The Inventory module lets you adjust stock levels for your tracked products. Where the product "Adjust Stock" action corrects one product at a time, an Inventory record is a stock-adjustment document that can adjust several products at once and can be saved as a draft first.

This item appears if the Purchase module is enabled and your role has the View Inventory permission.

How to create an inventory adjustment

  1. Go to Purchase → Inventory and click Add Inventory.
  2. Choose the Mode of AdjustmentQuantity Adjustment or Value Adjustment.
  3. Fill in the Date and Reason (both required), and an optional Reference Number and Description.
  4. Add products to the document using the product picker (only non-service products appear).
  5. Enter the new quantity/value for each product line.
  6. Optionally attach files.
  7. Save with:
    • Save — finalises the adjustment.
    • Save Draft — keeps it as a draft to finish later.

Line columns

Quantity Adjustment: Description, HSN/SAC (if enabled), Available Quantity (read-only), Quantity On Hand (the new count), Quantity Adjusted (calculated +/-).

Value Adjustment: Description, Current Value (read-only), Changed Value (the new per-unit value), Adjusted Value (calculated +/-). A value adjustment also updates the product's price.

You cannot set a product's quantity lower than the amount already committed on invoices.

Adjustment reasons

Adjustments require a Reason (e.g. "Stock count", "Damaged", "Returned"). Use the Add button next to the Reason field to open the reason manager, where each reason has a single Name field; reasons can be renamed inline or deleted.

The inventory detail page

An inventory record opens with Overview, Files and History tabs. The Overview shows the date, reason and mode, plus a line table of the adjusted products. From the Action menu you can Download / View PDF or Delete the record.

How stock actually moves

Inventory adjustments are one of several things that change a product's stock on hand:

  • Opening stock when a tracked product is created.
  • Adjust Stock on an individual product.
  • Inventory adjustments (this module).
  • Purchase Orders marked Delivered — receiving a delivered PO increases stock by the ordered quantities.
  • Invoices — selling a tracked product decreases stock.

Note: converting a purchase order to a bill does not change stock by itself — stock goes up when the PO's Delivery Status is set to Delivered.

How it connects

Inventory ties products to the rest of purchasing: stock rises when purchase orders are delivered, you correct it here when reality differs, and the Purchase Reports summarise the resulting stock and valuation.
