Tasks Overview

Tasks are the individual units of work in BusinessHRM. They can belong to a project or stand alone, be assigned to one or more people, and move through statuses on a board until they are done.

Where to find itIn the left sidebar, open the Work section and click Tasks. This opens the Task Board (the Kanban view). A separate Task Boards link opens the all-boards gallery.

The Tasks menu is only visible if the Tasks module is enabled and your role can view tasks.

The three task views

You can look at tasks in three ways, switched using the view buttons on the task pages:

View What it is
List A sortable, filterable table of tasks.
Board (Kanban) Cards in columns you drag between statuses. See Task Boards and the Kanban board.
Calendar Tasks plotted on a month calendar. See Task calendar.

There is also a Pinned view for tasks you have pinned.

Task statuses (board columns)

A task's status is the board column it sits in. The default columns are:

Status Colour
Incomplete Red
To Do Yellow
Doing Blue
Completed Green
Waiting Approval Black

Moving a task into Completed marks it done and records the completion date. Waiting Approval is used by the approval workflow — see Task approval workflow. Your administrator can add, rename, recolour, and reorder columns — see Managing columns (statuses).

Filtering tasks

The List and Board views share a rich set of filters: date range, project, contact, assigned-to, assigned-by, label, priority, task category, billable, and milestone. There is also a My Tasks quick button that shows tasks assigned to you.

Bulk actions

On the List view you can select several tasks and apply a bulk action: Change Status, change Milestone, or Delete.

Who can see what

  • View tasks permission controls scope: all tasks, tasks you created, tasks assigned to you, or both.
  • Project Admins can see and manage all tasks in their projects.
  • Contacts see tasks in their own projects, and the detail tabs available to them depend on your company's task settings.
  • Private tasks are hidden from people not involved with them.

Tips

  • Use My Tasks to focus on your own workload quickly.
  • Set a project Task Short Code so task numbers are easy to read (for example ABC-12).
  • Learn the Create a task form once — it is the same form used for recurring tasks and duplicates.
