Deals: Pipeline & Stages

The Deals feature is your sales pipeline. Each deal represents a potential sale linked to a contact, and it moves through a series of stages inside a pipeline. You can view your deals as a list or as a drag-and-drop Kanban board.

Where to find it

  • Sidebar → Deals (under the Sales / CRM area)

The Deals link opens the Kanban board by default. From the action bar you can switch between:

  • Board (Kanban / Pipeline) view — columns are the stages of the selected pipeline; deal cards can be dragged between stages.
  • Table (List) view — a filterable table of all deals.

The Deals module must be enabled and your role needs View Deals permission.

Pipelines

A pipeline is a named sales process. Every deal belongs to exactly one pipeline, and one pipeline is marked as the default. New companies start with a default pipeline called "Sales Pipeline".

You can have multiple pipelines (for example one per product line or team) and switch between them using the pipeline selector at the top of the board.

Stages

Stages are the columns a deal moves through. The default "Sales Pipeline" comes with these stages, in order:

  1. Generated (the default starting stage)
  2. Qualified
  3. Initial Contact
  4. Schedule Appointment
  5. Proposal Sent
  6. Win
  7. Lost

When you create a new pipeline, it starts with four stages: Generated, On going, Win and Lost.

Special behaviour for Win and Lost

  • Moving a deal into Win or Lost automatically sets the deal's Close Date to today if it was empty.
  • Once a deal is in Win or Lost, you can no longer add follow-ups to it, and the board will not let you drag it to a further stage.
  • Reaching Win can be configured to automatically create a contact from the deal.

The Kanban board

  • Each column is a stage of the currently selected pipeline.
  • Drag a deal card from one column to another to move it forward. Dropping it opens a Change Deal Stage window where you can confirm and optionally set the close date / value.
  • Use the pipeline filter at the top to switch which pipeline's stages are displayed.
  • Columns can be collapsed, and each column has a "load more" for large pipelines.

Managing pipelines and stages

From the board's action bar:

  • Add Stage — opens a window with: Pipeline (choose one or more pipelines to add the stage to), Deal Stage name (required) and Label Color (required). You can also edit a stage to rename, recolour or reorder it, set it as the default stage, or delete it.
  • Pipelines are managed in the Deal settings area, where each pipeline has a name and label colour, and one is the default.

Caution: Deleting a pipeline also deletes all of its deals and stages. Be sure before you remove one.

Permission notes

  • View Deals — see the board and list.
  • Change Deal Stages — move deals between stages.
  • Stage and pipeline management is part of the Deal settings (see article 08).

Tips

  • Keep your stage names short — they become the board column headers.
  • Use colours to make high-value or at-risk stages stand out.
  • Treat Win and Lost as final; deals there are read-only for follow-ups.
