Expense Report

The Expense Report shows all of your agency's recorded expenses, filterable by date, category, employee, and project. It includes a total figure, a trend chart, and a category breakdown. A linked Expense Category Report totals spending per category.

Where to find itReportsExpense Report

You can switch to the Expense Category Report using the receipt icon in the page's icon button group.

Permission required: Your role must have View Expense Report set to All.


1. Expense Report (main view)

At the top, a Total Expenses card shows total spending for the selected filters, a line chart shows expenses over time, and a bar chart shows the number of expenses per category.

How to filter

  1. Open Reports → Expense Report. It defaults to the current month through today.
  2. Set the Duration, and optionally filter by Category, Employee, and Project.
  3. Click Clear Filters to reset.

Filters

Filter What it does
Duration The date range for the expenses.
Category A single expense category, or All.
Employee The employee who incurred the expense, or All.
Project The project the expense relates to, or All.

Columns

Column Meaning
Item Name The expense item (shows a Recurring badge if applicable).
Price The amount.
Price (currency code) The amount converted to your default currency.
Employees Who incurred the expense.
Purchase From The vendor/source.
Bank Account The bank/account used.
Purchase Date When it was purchased.
Bill The attached receipt/bill, if any.
Status The expense's approval status.

Export

Click Export Excel to download.


2. Expense Category Report

This view totals spending by category, helping you see where the money goes.

How to use it

  1. From the Expense Report, click the receipt icon to switch views.
  2. Set the Duration and optionally choose a Category.

Columns

Column Meaning
# Row number.
Category The expense category.
Total Price Total spend in that category (converted to your default currency).

Export

Click Export Excel to download.


Tips

  • Use the Expense Category Report to find your biggest spending areas, then drill into them on the main report by setting the Category filter.
  • The Price (currency code) column lets you compare expenses recorded in different currencies on a like-for-like basis.
