Contact Settings

Contact Settings is where you organize how your Contacts are grouped and labelled. You create Contact categories and sub-categories, and you manage colored tags that can be attached to individual Contacts. Keeping these tidy makes filtering, reporting, and segmenting your Contacts much easier.

Note: "Contact" is the current name for what used to be called "Client" in BusinessHRM. You may still see some on-screen labels worded around "category"/"sub-category" while the feature itself applies to Contacts.

This page is only available when the Contacts module is enabled for your company.

The page has two tabs:

  • Category / Sub Category
  • Tags

Category / Sub Category

A category is a top-level grouping for your Contacts (for example Vendor, Partner, Prospect). A sub-category is a finer grouping nested under a category. This tab shows a read-only table of every category with its sub-categories listed beside it.

Add a category

  1. Open Settings sidebar > Contact Settings (the Category / Sub Category tab is open by default).
  2. Click Add Contact Category (labelled around "Add Category").
  3. Enter the category name.
  4. Click Save.

Add a sub-category

  1. On the same tab, click Add Contact Sub Category.
  2. In the manager, choose the parent category.
  3. Enter the sub-category name.
  4. Click Save.

Inside the sub-category manager you can also rename a sub-category inline (click its name and edit) or delete one with the Delete button and a confirmation.

Category fields

Field What it does
Category Name The name of the top-level Contact category. Required.

Sub-category fields

Field What it does
Category The parent category the sub-category belongs to. Required.
Sub-Category Name The name of the sub-category. Required.

Tags

Tags are short, colored labels you can attach to individual Contacts for flexible, cross-cutting grouping (for example VIP, Newsletter, Follow-up). The Tags tab lists every tag with its color and how many Contacts currently carry it.

Add a tag

  1. Open the Tags tab.
  2. Click Add Tag.
  3. Enter a tag name and pick a color.
  4. Click Save.

Edit a tag

  1. Click Edit on the tag row.
  2. Change the name or color.
  3. Click Save.

Delete a tag

  1. Click Delete on the tag row.
  2. Confirm in the pop-up. The tag is removed from all Contacts it was on.

Tag fields

Field What it does
Tag Name The label text of the tag. Required, up to 100 characters.
Color The color swatch used to display the tag. Defaults to blue if left unset.

Attaching tags to a Contact

Tags created here become available in the tag picker on a Contact's profile, where you can add or remove them per Contact. Attaching and removing tags on a Contact requires the edit_contacts permission.

Importing

Both categories and tags support bulk import. Use the Import button on the relevant tab to bring in a list rather than adding each one by hand.

Permission note

Contact Settings is controlled by the manage_contact_category permission, and the Contacts module must be enabled. A user needs this permission set to "all" to open the page and manage categories, sub-categories, and tags. Attaching or detaching tags on a Contact profile additionally requires the edit_contacts permission.

Tips

  • Plan a small, clear set of categories first; create sub-categories only where you genuinely need a second level.
  • Use distinct tag colors so Contacts are easy to scan at a glance.
  • The Tags tab shows a per-tag Contact count, which is a quick way to spot tags that are unused or overused.
  • Deleting a tag removes it from every Contact, so confirm it is no longer needed before deleting.
  • Use the Import buttons to load an existing list of categories or tags in one step.
