Create a Contract

This article covers every field on the new-contract form, plus how to manage contract types.

Where to find itGo to WorkContracts and click Create Contract. The button appears if the Contacts module is enabled and you have permission to add contracts.

If the Contacts module is turned off, the form is replaced with a notice — contracts cannot be created without it, because every contract is linked to a contact.

How to create a contract

  1. Go to Work → Contracts.
  2. Click Create Contract.
  3. Fill in the Contract Details section.
  4. Fill in the Contact Details section (at least the contact).
  5. Click Save.

Fields — Contract Details

Field What it does Required
Contract Number The contract's reference number. Auto-filled with the next number. Yes
Subject The contract's title. Pre-filled if you start from a template. Yes
Project Links the contract to a project. Choosing a contact filters the project list. No
Description A rich-text description of the agreement. No
Start Date When the contract begins. Yes
End Date When the contract ends. Hidden if Without Due Date is ticked. No
Without Due Date Tick for an open-ended contract with no end date. No
Contract Type The kind of contract. Use Add beside it to manage types (if permitted). Yes
Contract Value The contract's monetary value. Set to 0 if there is no cost. Yes
Currency The currency for the value. Defaults to the company currency. No

Fields — Contact Details

Contact The contact the contract is for. Use Add to create a new contact inline. Selecting a contact auto-fills their address fields. Yes
Cell The contact's mobile number. No
Office Phone Number The contact's office number. No
City Contact's city. No
State Contact's state. No

Postal Code Contact's postal code. No
Alternate Address An alternate address for the contract. No
Notes Internal notes about the contract. No
Custom Fields Any extra fields your administrator has added. Varies

There is no recurring "cycle" on a contract. To extend a contract, use Renewal — see Renewing a contract.

Managing contract types

Contract types let you classify contracts (for example, Retainer, NDA, SOW). They are managed in a small dialog opened from the Add button beside the Contract Type field.

How to add, rename, or delete a type

  1. Click Add next to Contract Type.
  2. To add: enter a Name and click Save.
  3. To rename: click a type's name in the list and edit it.
  4. To delete: use the delete button on the row.

Manage contract type Adding/editing/deleting contract types; full permission is needed to delete and to show the inline Add button.
Add contacts Showing the inline Add button to create a contact.

Tips

  • Start from a template to pre-fill the subject, description, type, value, and currency — see Contract files, discussions, and templates.
  • Selecting the Contact first auto-fills the address fields, saving you typing.
  • Use Without Due Date for open-ended retainers.
