Attendance Settings
Attendance Settings is where you control how your team clocks in and out, where they are allowed to clock in from, how shifts are defined, whether attendance can be self-corrected, and which QR-code based clock-in is offered. The page is organised into tabs across the top: Attendance Settings, Employee Shifts, Shift Rotation, QR Code, and Attendance Regularisation.
This tab only appears when the Attendance module is enabled for your company and your role has the right permission. The page opens on the "Attendance Settings" tab by default. The Employee Shifts and Shift Rotation tabs only appear if you also have the shift-management permission.
Attendance (general clock-in rules)
This is the default tab. It controls the company-wide clock-in/out behaviour, the location and IP rules, the working week, and the monthly attendance report.
How to set it up:
- Open Settings sidebar > Attendance Settings (the first tab is shown by default).
- Turn on the checkboxes for the behaviours you want.
- If you turn on "Check for radius", enter the radius distance.
- If you turn on "Check for IP", add one or more allowed IP addresses with the "Add IP Address" link.
- Choose the week start day and the attendance reminder options.
- Click Save.

| Allow self clock in/out | Lets employees clock themselves in and out (instead of only an admin doing it). When this is off, the radius and IP checks below are disabled because they only apply to self clock-in. |
| Auto clock in | Automatically clocks the employee in. Cannot be used at the same time as QR Code clock-in; if QR Code is enabled you will get an error when saving. |
| Default location (for auto clock in) | Shown only when Auto clock in is on. Sets whether the automatic clock-in is recorded as Office or Home. |
| Check for radius | Restricts self clock-in to within a set distance of the office location. Reveals the Radius field. |

| Choose role for report | Multi-select of the roles that should receive the monthly attendance report. Shown only when "Send monthly report" is on. |

| Attendance reminder status | Toggle that turns on a reminder for employees who have not clocked in. Reveals the minutes field. |
| Reminder after minutes | How many minutes after the shift start to send the not-clocked-in reminder. Shown only when the reminder toggle is on. |
Employee Shifts
Each shift defines the working hours, half-day and late-mark rules, auto clock-out, and which days the office is open. One shift is always the company default. This tab only appears if you have the shift-management permission. Use "Add New Shift" (top right) to create one.
How to add a shift:
- Go to the Employee Shifts tab and click "Add New Shift".
- Choose the Shift Type (Strict or Flexible).
- Fill in the timing and rule fields shown for that type.
- Pick the office open days.
- Click Save.
To set the default shift, select the "Default" radio button on the row of the shift you want. You cannot delete the default shift; reassign the default first, then delete.

| Half Day Mark Time | Strict only. The cut-off time; clocking in after this is marked as a half day. |
| Early Clock In | Strict only. How early (in minutes) an employee may clock in before the shift start. |
| Late Mark | Strict only. The duration after the start time after which an arrival is marked late. |
| Clock-in in a day | The number of clock-ins allowed per day. |
| Office Open Days | The days of the week this shift operates. |
Shift Rotation
Shift Rotation automatically cycles employees through a sequence of shifts on a schedule (weekly, bi-weekly, or monthly). This tab only appears if you have the shift-management permission. Use "Add New Shift Rotation" or "Automate Shifts" (top right), and "Run Rotation" to apply.
How to create a rotation:
- Go to the Shift Rotation tab and click "Add New Shift Rotation".
- Enter a Rotation Name and choose the Rotation Frequency.
- Choose Schedule On (for weekly/bi-weekly) or Schedule Date (for monthly).
- Pick a colour code.
- Select a shift and click "Click to add" to add it to the rotation sequence; repeat to build the order. Drag to reorder.
- Choose whether to replace pre-assigned shifts and whether to send a notification.
- Click Save, then use "Run Rotation" to apply it.

| Replace pre-assigned shift | When on, the rotation overrides shifts already assigned to employees. |
| Send rotation notification | When on, notifies employees of their rotated shift. On by default. |
QR Code
The QR Code tab lets employees clock in by scanning a company QR code. It cannot be used at the same time as Auto clock in.
How to use it:
- Go to the QR Code tab.
- Turn the QR Code toggle on. (If Auto clock in is enabled, you will get an error; disable Auto clock in first.)
- The QR image and a login link appear. Use Copy to copy the link, Download to save the image, or Print to print it.
- Display or share the QR code with employees to scan.

Attendance Regularisation
Regularisation lets employees correct their attendance logs (for example missed clock-ins) within limits you set. You choose what can be adjusted, how many times, over what period, and which roles may request it.
How to configure it:
- Go to the Attendance Regularisation tab.
- Choose what employees may adjust: Not allowed, Only missing swipes, or All logs. Choosing "Not allowed" hides the rest of the options.
- Pick how many times adjustment is allowed using one of the three rules.
- Select which roles can raise a regularisation request.
- Click Save.

Permission
Access to Attendance Settings is controlled by the manage_attendance_setting permission, which must be set to "all", and the Attendance module must be enabled for your company. If either condition is not met, the page returns a 403 (access denied). The Employee Shifts and Shift Rotation tabs additionally require the manage_employee_shifts permission set to "all".
Tips
- "Allow self clock in/out" must be on for the radius and IP checks to apply; if it is off those checks are disabled automatically.
- You cannot use Auto clock in and QR Code at the same time. Decide which method your team uses before turning either on.
- Strict shifts give you late-mark and half-day-by-time control; flexible shifts only track total hours. Choose the type that matches how the team actually works.
- You cannot delete the default shift. Make another shift the default first, then delete the old one.
- Turn on "Save current location" if you need to verify where remote staff clocked in from.
- Use the IP list to lock self clock-in to your office network, and the radius check to lock it to a physical area.
- If you do not see this page or the shift tabs, the Attendance module or the required permission is missing.
