Letters

The Letters module lets you create reusable letter templates (offer letters, experience/relieving letters, warning letters, and so on) and then generate a personalised letter for any employee in a few clicks.

Module & permission: Appears only when the module is enabled and your role has the letter permission.

Templates

A template is the reusable body of a letter with placeholders that get filled in per employee (name, designation, joining date, salary, etc.).

  1. Go to Letters → Templates and click Add Template.
  2. Give it a name and write the content in the editor.
  3. Insert placeholders where employee‑specific details should appear — when you generate a letter, these are replaced with that employee's real data.
  4. Save. The template is now available whenever you generate a letter.

Tip: Build one template per letter type (Offer, Experience, Confirmation, Warning) so generating a letter is just "pick employee + pick template".

Generating a letter

  1. Go to Letters → Generate.
  2. Choose the employee and the template.
  3. The placeholders fill with that employee's details; review and adjust the text if needed.
  4. Save/generate the letter.

You can also generate a letter directly from an employee's context.

Managing generated letters

The Letter list shows every letter you've generated, for whom, and when. From here you can:

  • Preview a letter.
  • Download it (e.g. as a PDF) to print or send.

Note: Editing a template affects future letters only — letters you've already generated keep the wording they were created with.
